Frequently Asked Questions

JOYN is a fresh approach to recruitment that changes the game for both recruitment consultants and hiring clients alike. Whilst we have been doing this since 2017 and have a huge track record of delivering thousands of successful assignments since then, it is natural you may still have questions about how our approach could work for you or your business. Here’s our answers to JOYN’s most Frequently Asked Questions, but if you can’t find the right answer, or need further help, please Contact Us here.

For Businesses

For Consultants

Check out our Contact Us page to get in touch and we will call you to gain a thorough understanding of you and your business. We will then run a discovery session in person, or online, to scope out your Recruitment or HR project requirements and present a formal proposal including cost estimates and recommended Consultant. Once you’re happy and ready to go, you review and sign JOYN’s Terms and Conditions, set your business up with a JOYN account, you receive a login link to your JOYN platform and we introduce you to your JOYN Consultant to get your project underway.
JOYN is a community of freelance recruitment and HR consultants, armed with JOYN’s bespoke recruitment technology platform, who operate as an extension of your brand as and when you need them. Clients only pay for the time and expenses of their consultant, with no minimum spend, and no hidden costs or large placement fees at the end. JOYN does not build up a database of candidates to place in your competitors either. Any IP generated by your consultant, including CVs for applicants to your jobs, is yours to own and use for your business alone.
You pay for your consultant’s hourly rate plus any add-ons such as advertising or psychometric testing. The hourly rate depends upon the level of consultant best suited to support you, plus the scale and complexity of the project. For recruitment, most standard hires take between 20 – 40 hours, and your consultant will work closely with you so you are across the progress of your project and receiving real time market information. The cost for HR varies depending on your requirement and will be quoted at time of enquiry.
You will receive weekly timesheets from your consultant detailing the number of hours worked each day and the activities undertaken. Timesheets can be approved by one click from an email or your dashboard. You will be invoiced at the beginning of each month, for the previous month’s time and materials approved by you. Payment terms can be modified to fit in with your own company’s pay run.
Having completed over 5,000 recruitment and HR assignments with over 700 businesses since 2017, JOYN can support your business with every aspect of your HR and recruitment staffing requirements.  We have specialist Consultants across New Zealand and Australia with deep expertise and networks in Technology, Digital, Finance, Sales, Marketing, Communications, HR, Operations, Professional Services, PR, Legal, Construction, Property, Engineering, Technical, Scientific, Industrial, Trades, Retail, Hospitality, Education, Healthcare, Not-For-Profit and Executive. With our flexible, pay-as-you-go recruitment model we can support businesses with all or part of the recruitment process. By combining this human expertise with our technological smarts, we can deliver to your business better hires at less than half the usual cost.
We don’t guarantee placements because we work as an extension of your business, consult with you as we go, and run a very robust process so by the time you hire, you are completely confident with and invested in the person you select. We also provide you with the entire shortlist so, if anything happens, that we couldn’t have mitigated or foreseen as part of the process, we will go back to the other candidates to ensure quick access to a replacement. If the consultant selected to partner with you fails to perform their services satisfactorily during the first two days of the assignment, JOYN will cancel all charges from the first two days and furnish a replacement consultant to continue with your assignment.
JOYN works best when you treat your consultant as your own in-house recruitment department available as and when you need it. If you have briefed an agency on a contingent, success-fee basis then you are free to engage with a JOYN consultant either alongside that process, or in place of the agency, with no extra cost incurred from the agency. Like with company in-house recruiters, JOYN can work in partnership with you to make requisite hires, whilst also managing your company’s agency relationships and ensuring delivery standards are met and costs kept to a minimum.
JOYN is a community of freelance recruitment and HR professionals who are essentially contractors themselves. We do not build, maintain and manage a contractor pool outside recruitment and HR, but our JOYN consultants are often networked and connected to contractors in their areas of specialisation, and can run the usual recruitment process to procure their services for your company if required. If you have an urgent requirement, particularly for temporary staff, then using a traditional staffing agency is the best approach in these instances.
JOYN partners with New Zealand testing platforms Talegent and Checkmate who provide pre-employment assessments and background checks. From skills testing, cognitive and personality assessments to online reference checking, MOJ and credit checks. JOYN’s recruitment platform is also integrated with myInterview, a tool that provides intelligent candidate video screening directly from your consultant dashboard. JOYN also has the technological capability to digitise and integrate clients’ own unique testing processes into the JOYN platform, when required.
JOYN’s head office is in Auckland, New Zealand. Our consultants are located across New Zealand, predominantly in Auckland and Christchurch, with smaller numbers located in more regional areas, and also in Australia. JOYN consultants work through our bespoke recruitment platform and are adept at working remotely for clients across New Zealand, with location increasingly proving less of a factor in the ability to deliver great outcomes.
JOYN provides recruitment or HR assignments for experienced recruitment or HR professionals to deliver their expertise on an hourly basis and get paid for all the work they do. Once partnered with a client, a JOYN Consultant manages the client relationship and deliverables by working remotely and utilising JOYN’s own cutting-edge recruitment workflow and billing platform. JOYN consultants are freelancers and can control the amount of work they do with JOYN alongside other projects. Typically, consultants will build up a client base who continue to use them as and when needed in future, with JOYN continuing to support and pay for approved work.  Clients are invited to rate consultants at the end of every assignment and the consultants accumulate an average rating out of 10 that is used to build trust with new, prospective JOYN clients in future.
We cannot guarantee the volume of work but we constantly endeavour to keep all of our freelance consultants working as near to capacity as possible. What capacity means for you, is totally up to you. We are a flexible and agile solution and you can set your own availability levels, plus switch yourself off completely if you decide to take a break or don’t want to be introduced to new clients.
Yes, you can, as long as it doesn’t impact upon, or conflict with, any assignments you have agreed to undertake through JOYN. We often find consultants enjoy working through the JOYN platform so much that they want to use it to run their other assignments with their personal clients too. In these instances, we will need to sign your client up to JOYN so that we can then load their assignments up into our system. JOYN consultants retain a higher proportion of the hourly rate when working with their own clients and the restraints of trade around client ownership do not apply.
You will get paid based upon the number of approved hours you have completed each month. You will have an online timesheet to complete for each live assignment, which must be submitted by the end of each week. Pay day is the 10th of each month and you will get paid for the number of approved hours from the previous month’s timesheets, at the pre-agreed hourly rates for each assignment, plus any expenses incurred and approved by your clients.
Current IRD rules mean you can work as an independent contractor without registering for GST as long as your earnings do not exceed $60,000 per annum. We do recommend you register for GST if you intend on being a professional contractor longer-term. You can also work via Contractor Management or other third-party companies if you prefer, and we can provide advice and further information on how this works if you would rather not be GST-registered.
All clients you work for via JOYN are invoiced by JOYN on a monthly basis. Invoices are based upon your approved timesheets and expenses and JOYN is responsible for collecting invoice payments. You do not need to invoice JOYN for your approved time and expenses as we raise a BCI (buyer created invoice) on your behalf, also based off approved time and expenses, and pay you on the tenth day of every month.
JOYN pays the job board and invoices at-cost to the client. The JOYN platform is connected to a range of job boards including SEEK and Trade Me. Posting adverts via JOYN will submit them to clients for approval, including the cost of advert to the client. Once approved by the client, the advert goes live and the cost is added to their next invoice.
Typically, JOYN Consultants will have their own Recruiter Lite subscription with LinkedIn which enables access to premium sourcing tools without their data being visible to other JOYN Consultants in the network. The cost is borne by the JOYN Consultant but easily covered by the time spent using LinkedIn to source candidates, which is then on-charged to the client via timesheets.
JOYN has a thorough vetting process to ensure that all of our consultants are able to deliver their services at a very high standard and to the complete satisfaction of our clients. Minimum criteria to work with JOYN as a recruiter is senior Recruitment Agency or high-level Talent Acquisition experience where you have been consulting with hiring managers. We also look for experience with recruitment process design and development of sourcing strategies, a sound working knowledge of recruitment tools and channels, plus advert writing expertise.
JOYN provides a thorough onboarding process, and ongoing technical and recruitment support, from our Community Manager. We also encourage collaboration between our consultant community and host regular online training and industry update events. Every client has a JOYN Account Manager who can provide support or attend joint client meetings if required.
When set up as a JOYN consultant you will gain access to your own platform which details your live assignments with JOYN. Each assignment has its own ATS function for you to manage the recruitment process with your client. JOYN’s bespoke ATS is integrated with SEEK and Trade Me job boards, screening tools, email and SMS providers and has automated workflows and client collaboration features to ensure a seamless process for recruiter, client and candidate alike.
To work with JOYN as a freelance consultant you will need your own computer, an internet connection, and a mobile phone on a suitable calling plan.
Most JOYN consultants work remotely from home but we also encourage consultants to spend time working out of our Central Auckland HQ when it suits too. We also have access to partner centres at 30 locations around New Zealand should you need a professional environment for meeting clients or interviewing candidates.
